Telegram Account Information: Your Telegram user ID and username (if available) when you start using the bot.

Entries: The messages you send to log your work activities. These are stored in both raw and AI-processed forms.

Preferences: Your timezone, week start day, and notification settings.

Profile Information: Optional role and industry information you provide during onboarding.

Networking Data: If you opt in, information about your professional interests for matching purposes.

How We Use Your Data

  • Generate weekly and monthly reflection summaries based on your entries
  • Extract and track projects mentioned in your entries
  • Send gentle accountability nudges for projects that haven't been updated
  • Match you with relevant professionals (only if you opt in to networking)
  • Improve our AI models and service quality

Data Storage & Security

Your data is stored in secure MariaDB databases. We use encryption for data in transit and implement industry-standard security practices.

Vector embeddings of your entries are generated for semantic search and matching purposes. These embeddings cannot be reverse-engineered to reveal your original text.

Third-Party Services

OpenAI: We use OpenAI's GPT models to process your entries, generate summaries, and facilitate networking matches. Your data is sent to OpenAI's API for processing. OpenAI's use of your data is governed by their privacy policy and data processing terms.

Telegram: As a Telegram bot, we operate within Telegram's platform. Your interactions are subject to Telegram's privacy policy.

Data Retention

We retain your data for as long as your account is active. You can export or delete your data at any time using the commands within the Telegram bot.

Your Rights

  • Export: Use the /export command to download all your data in CSV or JSON format
  • Delete: Use "Delete my account" to permanently remove all your data
  • Opt Out: Disable networking or nudges at any time through settings
  • Correct: Add corrections to your weekly summaries if the AI misunderstood something

Networking Privacy

If you opt in to networking:

  • Matches are based on shared interests extracted from your work entries
  • Your identity remains anonymous until you explicitly choose to reveal it
  • Both parties must consent to reveal their identities
  • Messages in networking conversations are reviewed by AI for safety

Children's Privacy

Mnexa is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes through the Telegram bot.
